Vitae Recruitment is excited to announce a fantastic opportunity for a Head of Back Office position with our client based in Limassol, Cyprus. This role is ideal for an experienced professional who is ready to take charge of the back office operations and support the overall efficiency of the organization. The successful candidate will be responsible for overseeing daily operations, ensuring compliance with regulations, and leading a team to deliver exceptional service. Strong leadership skills and a strategic mindset are essential, as you will collaborate closely with other departments to drive the company's objectives and enhance operational procedures.
Duties & Responsibilities:
- Management and administration of the department.
- Implementation of the internal regulations and procedures for the department.
- Opening of new client’s accounts.
- Provision of information to Clients and prospects regarding the Company and guiding them on how to open a physical or corporate account.
- Implement strong Know Your Client procedure to all potential and existing Clients.
- Closing of clients’ accounts.
- Amend existing Client Accounts (i.e. Valid Documents, updated information, leverage, profile etc.).
- Preparation and sending of clients' execution confirmation reports.
- Preparation of client’s periodic statements.
- Record keeping of executed orders.
- Monitoring of Executed transactions.
- Settlement of the transactions in accordance with the agreements.
- Reconciliations on the daily and monthly basis, client's balances (funds, securities, financial instruments) with the company's balances recorded in software.
- Keep client records (i.e. agreements, ID documents, investor questionnaire, Know Your Client information) in electronic form on an annual basis.
- Preparation of back office manuals, terms & conditions, contracts, procedures, policies and relevant disclaimers.
- Preparation of Various regulatory reports.
Key Attributes:
- Proven experience (minimum 4 years' experience) in back office operations within the financial services industry.
- Bachelor's degree in business administration or a related field is preferred.
- Strong understanding of relevant compliance and regulatory requirements.
- Holder of CySEC Advanced | AML Certifications will be considered an advantage.
- Business fluency in English.
- Excellent leadership and team management skills.
- Strong analytical and problem-solving abilities.
- Effective communication skills, both verbal and written.
- Process driven.
- Ability to work collaboratively in a fast-paced environment.
