Vitae Recruitment is excited to present an excellent opportunity for an Office Manager to join our client's team in Limassol, Cyprus. This onsite role involves overseeing daily office operations, managing administrative staff, and ensuring the office runs efficiently. The Office Manager will be responsible for coordinating office activities, implementing procedures, and serving as the main point of contact for internal and external inquiries. The ideal candidate will bring organizational expertise and the ability to foster a professional office environment, contributing to the overall success of the company.
- Handling the office administration (stationary, copies, scans etc.) and internal /external communication of the reception (phone calls, emails, faxes, post etc.).
- Handling incoming and outgoing post.
- Greeting and welcoming visitors and directing them appropriately.
- Maintaining a clean and tidy reception area.
- Communicating efficiently with various suppliers and service providers as needed.
- Safekeeping of confidential documents and maintaining an efficient filing system (for suppliers, employees etc.).
- Assisting finance team with the onboarding of new staff.
- Drafting offer letters and employment contracts.
- Running the Group Medical Scheme.
- Maintaining employee records and relevant paperwork.
- Arranging meetings, booking conference rooms and sending invitations.
- Arranging traveling, visas and accommodation for employees and guests.
- Planning, implementing and managing the overall Talent Acquisition strategy (e.g., job
- descriptions, job posting, screening, arranging interviews)
- Helping in organizing company events (teambuilding/social events).
- Communicating to staff about organizational changes, new appointments etc.
- Administering and maintaining annual leave software.
- Managing and implementing the employees’ onboarding and off boarding process.
- Assisting senior management on ad-hoc tasks.
- Proven experience in office management or a similar role
- Certificate in secretarial studies is considered an advantage
- Computer literacy with good knowledge of Microsoft Office applications
- Fluent in Greek/English reading and writing
- Strong communication, organizational and interpersonal skills
- Attention to detail
- Ability to manage multiple tasks and projects simultaneously
- Well-presented, trustworthy and punctual
- Ability to maintain a high level of confidentiality
